Job Description

The Kenya Animal Genetic Resources Centre (KAGRC) is seeking to recruit four (4) qualified and dependable Office Assistants under KAGRC Grade 10. The successful candidates will support day-to-day office operations by ensuring cleanliness, handling office documentation, assisting staff and visitors, and supporting basic administrative and operational tasks within the Centre.

This role is ideal for organized, hardworking, and service-oriented individuals with good communication and interpersonal skills. The Office Assistants will play an important role in maintaining a clean, efficient, and well-coordinated working environment across various departments within the institution.

The position offers an opportunity to work in a professional public sector environment that supports livestock genetic resources management and research in Kenya.

Main Duties and Responsibilities of the Office Assistant

The successful candidates will assist in carrying out the following duties:

  • Ensuring general office cleanliness and maintaining a clean working environment.
  • Collecting, sorting, and dispatching mails and documents.
  • Maintaining files, updating databases, and organizing documents efficiently.
  • Facilitating file movement from one office to another.
  • Preparing and serving beverages.
  • Requisitioning office general supplies.
  • Operating basic office equipment such as photocopiers and scanners.
  • Ensuring the safety and proper handling of office facilities.
  • Assisting clients and customers by providing information and handling inquiries.
  • Answering telephone calls, responding to emails, taking messages, and directing calls appropriately.
  • Assisting with bookkeeping, entering data into spreadsheets or accounting software, and monitoring stock levels.

Academic Qualifications and Requirements for the Office Assistant Position

To qualify for appointment to this grade, candidates must possess:

  • Kenya Certificate of Secondary Education (KCSE) grade D+ (Plus) or its equivalent from a recognized institution.
  • Proficiency in computer applications.
